Fractional RDO Scope of Services 

Core Leadership Responsibilities 

  • Conduct regular site visits to assess operational efficiency, staff morale, and resident satisfaction.  
  • Hold weekly community calls. 
  • Provide ongoing remote support and communication. 
  • Mentor Executive Directors and department leaders through 1:1 coaching. 
  • Lead a monthly client strategy session. 

Occupancy & Business Performance 

  • Analyze community key performance indicators (KPIs), identify areas for improvement, and implement action plans.  
  • Monitor and analyze occupancy rates by units and percentage. 
  • Track week-over-week (WOW) and month-over-month (MOM) trends. 
  • Review pending move-ins and move-outs, identify “at-risk” residents. 

Financial Oversight 

  • Review monthly Profit & Loss (P&L) with community and corporate leaders. 
  • Track cash flow and payroll projections. 
  • Review Accounts Receivable (AR) and aging analysis. 
  • Monitor resident past due accounts and collection status. 
  • Oversee budget performance and variance 
  • Support Executive Directors with budget compliance, revenue management, and cost control. 

People & Culture 

  • Lead efforts to recruit, mentor, and retain high-performing leaders and team members.  
  • Support assessment, recommendation, onboarding, and staffing oversight. 
  • Review overtime hours and labor distribution. 
  • Manage agency usage (hours and cost). 
  • Track staffing ratios adjusted by resident acuity. 
  • Support resident concerns and satisfaction initiatives. 
  • Conduct staffing assessments and team development plans. 

Operational Process & Compliance 

  • Oversee community department operations and KPI accountability. 
  • Develop and implement strategic plans that drive occupancy, financial health, and resident satisfaction. 
  • Ensure communities maintain a high standard of cleanliness, safety, and hospitality. 
  • Ensure regulatory compliance and life safety standards. 
  • Guide community through audits, licensing surveys, quality assurance, and risk management efforts. 
  • Facilitate CapEx project tracking and updates. 
  • Monitor and ensure compliance with all state, federal, and company policies and procedures. 
  • Assist with pre-opening operations planning, as needed. 
  • Develop and implement a customized Operations Planner. 
  • Align with Regional Sales and Regional Wellness leadership. 

Reporting & Communication 

  • Submit monthly operations report to client 
  • Analyze community performance metrics, identify areas for improvement, and implement action plans. 
  • Provide written call recaps/notes after community calls. 
  • Maintain consistent communication regarding key updates, concerns, and performance metrics. 
  • Support Resident Satisfaction Ratings (conducted twice yearly).
